When people ask “where’s your office” I hold up my IPhone and say “here it is”. In today’s mobile world, unless you are operating a retail business or providing a service that requires in-person interaction ie: a fitness studio, beauty salon, restaurant … there is no reason to be tied to a building or even a desk. There are so many tools/apps available that enable us to move freely and be able to service our clients from where ever we are. Here are some apps that help me provide seem-less service to my clients.
1. Dropbox – Dropbox is an easy way to store your client files. The free version has a lot of storage. You can email a link to a folder or document without the recipient needing any special software to open it, and you don’t need to be concerned that the file is too large or virus software blocking the way you do with attachments.
2. DocuSign – electronic signing is legal and secure and is super easy to use. All you need is the recipient’s email address and you can set up a form for signature right on your phone. The recipient does not need any special software and sign on their smartphone is just a few seconds; and they don’t need to have any technical skills! My older, non-techie clients love it! You can circulate a document to multiple signers and also copy others who are not signing. All you do is set is up and forget about it. You can set it up so that you are notified when each recipient have viewed the document and everyone who signed will get a copy of the completed document. You can save your documents right in DocuSign or you can send them to your Dropbox to store in your client folders. There is a charge for Dropbox, but the price is well worth it.
3. Okta – Do you have too many passwords? Who doesn’t? Okta is a app that you can put on your laptop, tablet and phone that will connect you to all of your other apps and website links that need a password. It is not just a password keeper, once you set it up, all you do is click on the Okta app, input a 4-digit code and all of the apps you use to run your business show up on your screen. Click the app and you’re in business! (It is not free but well worth the price.)
While technology is certainly not a replacement for personal communication and service but used correctly, it is an efficient way to give your clients what they want, when they want it, where ever they are while you get to have a life!
